Library staff EDI information in MyView: an update

Support equality, diversity and inclusion by completing your MyView information.
The Equity, Diversity and Inclusion Working Group (EDI WG) would like to encourage Library staff to complete your MyView equality details.
To give some context to why we would like staff to complete this data, the University actively monitors data on its staff and student populations, enabling ongoing assessment of progress against our Equality, Diversity, and Inclusion (EDI) strategy. This ensures we remain an inclusive and diverse institution, providing equal opportunities for staff and students to reach their full potential. The information is reported in the University’s annual Equality Report and the Social Inclusion Dashboard.
In January 2022 the Library EDI WG put out a call to staff to check, update and complete their equality information in MyView to support and inform equality, diversity and inclusion in the University. We shared an overview of the levels of EDI data by Library colleagues extracted from MyView in July 2021, with an aim of being the first University area to achieve 100% completion.
The Library EDI WG has recently been investigating the data the Library has access to, so that we can target our EDI activities on the needs of our colleagues. With that in mind, we wanted to show you where we are with regards to the Library EDI data in MyView. You can now see a comparison of the levels of EDI data added by Library colleagues to MyView in July 2021 and September 2023 in this infographic:

As you can see, the Library has higher completion rates in all but one area, which is great news. However, there are still areas of unknown data that we would like to encourage all staff to complete.
The data you provide allows the University to make positive progress towards meeting our EDI objectives, allocating appropriate time and resources to address the needs of staff. The Library EDI WG aims to analyse our data and use it to inform our activities and decision making.
How to update your MyView information
Updating your information in MyView should only take a few minutes. To update your information:
- login to MyView;
- open the menu at the top left of the screen;
- click ‘My Details’;
- click ‘My Equality Details’;
- review the information listed and update it if necessary;
- click ‘Submit Change’.
What data is collected?
In accordance with The Equality Act (2010), the University collects data on the following protected characteristics:
- Age
- Disability
- Gender Reassignment
- Pregnancy, maternity and paternity
- Ethnicity
- Religion or belief
- Legal Sex
- Sexual orientation

Why are we collecting the data?
The University’s commitment to EDI extends beyond our compliance with the Public Sector Equality Duty.
‘Our people, our values’ highlights our goal to embed EDI within all our practices, promote wellbeing and create an inclusive and fair culture for all.
The data collected from MyView is monitored and analysed for several reasons:
- Directs and supports the work of the EDI Directorate and has contributed to the formulation the Library EDI Strategy.
- Helps monitor whether current EDI initiatives are effective and reaching the right people.
- Directs time and resources towards addressing challenges faced by groups with shared protected characteristics, for example the StellarHE leadership development programme for Black, Asian, and Ethnically Diverse individuals in higher education.
- Submitted as evidence towards Charter marks that evaluate our practices towards improving inequalities faced by underrepresented groups and help to co-develop action plans.
How is the data stored and reported?
Once completed, the data becomes anonymised and stored confidentially in accordance with the Data Protection Act (2018) and GDPR regulations. Data will be stored separately from your personal details.
Your data remains unidentifiable throughout analysis and reported in line with requirements from the Higher Education Statistics Agency (HESA).
Who has access to the data?
Your data can only be accessed by colleagues in the EDI Directorate for the sole purpose of data analysis. They have been trained to handle and report data confidentially. Under no circumstances can this be viewed by your line manager, co-workers or other members of the University.
Will disclosure lead to further contact?
Disclosing your equality data will not lead to further contact, for example sharing relevant support networks. Should you require any reasonable adjustments or additional support, please contact your line manager.
Is it optional?
Yes, disclosing your equality details is voluntary. However, any information you do provide is invaluable towards making a positive difference.
If there is information you would not like to disclose, please select the ‘Prefer not to say’ option within each field, your preference will be updated as such.
