Schools must make information on attendance/engagement requirements explicit in the programme handbook/webpages and during induction. This must take the form of a School ‘statement’ on attendance requirements, monitoring, review and consequences of non-attendance or engagement.
Schools must ensure that information on the procedures to be followed by students for reporting on and, where appropriate certificating, absence, is explicit in relevant handbooks and online information, and during student inductions. Academic Advisors must also be aware of such procedures so that they are able to advise students.
Schools may also wish to set out expectations for students in terms of their participation within the taught elements of their programmes.
Schools must determine points of contact within a programme of study that will enable them to monitor a student’s engagement with their programme, in accordance with the Policy on Recording and Monitoring Student Attendance and Engagement.
The mechanisms for monitoring student attendance and engagement will be agreed by the School and should be supported by appropriate processes for recording attendance/absence, primarily the University’s Student Attendance system.
There must be a mechanism within each School by which a review of student engagement with the programme is undertaken at timely points to determine whether appropriate action needs to be initiated. Schools must determine points within the academic year at which a review of non-attendance or engagement should take place, but there should also be flexibility in cases of concerns about students’ engagement being flagged up outside of these points.
Schools must have a procedure by which they follow up on continued unauthorised absence and non-engagement with the programme and seek to address any issues or refer students onto relevant areas of support or advice. This must be clearly stated in programme information for students.
If a School is required to initiate paragraph 3.12 of the Policy on Recording and Monitoring Student Attendance and Engagement, the Registrar and Secretary’s copy of the notification to the student concerned must be sent to the Student Services Centre (SSC).
