Air Travel/Flights
Flights for business travel should be booked in advance using the online travel booking system from Key Travel wherever possible, rather than through reimbursement of expenses. Flights should preferably be booked with an approved supplier.
- If you are booking scheduled flights, you should normally only book economy class tickets for journeys within Europe
- With the prior agreement of the Head of School, business class may be used for trips outside Europe (the Faculty Dean must approve business class travel by a Head of School)
- Charter flights should be used if possible, but you are reminded that on such flights there is usually no flexibility if travel plans are changed, nor will the University receive any refund
- If pre-booking is not possible then claims can be submitted for the recovery of flight costs providing that the flights are of the type defined above and that original receipts etc. are submitted
- Bookings made for other family members should not be charged to the University but should be paid directly with a personal cheque or credit card (such costs cannot be reclaimed from the University)
- Staff must not book flights with a more expensive airline to gain personal benefits such as air miles
