Outlook's Scheduling Assistant is a tool which allows you to view colleague’s availability in order to invite groups of people to meetings or events.
This makes finding a common time when everyone is free a much simpler process. You don’t even have to set up special viewing permissions; only blocks of free and busy time can be seen unless you have additional permissions. You can even view room availability!

Outlook 2010 also connects with Lync where you can view a colleague’s current availability with detailed presence information. Lync is a communication tool which enables you to quickly reach contacts via instant messaging and have video calls. Your status is synchronised between Lync and your calendar in Outlook 2010. This means if you update your status in Lync, others will see that change when they try to email or send you an invite. Similarly, if you have an appointment in your calendar your status will update to ‘busy’.
