Events and out of hours booking in centrally timetabled rooms

Online checklist from 1 September to ensure efficiency and safety
Following consultation with Faculty, School and Professional Support Services colleagues and formal University management approval, from 1 September 2010 all requests for events and out of hours bookings in centrally timetabled rooms will require the requestor to complete an electronic check list, once availability has been confirmed with the Central Timetabling Unit (CTU). CTU will then send a link to the requestor to complete the on-line checklist.
The purpose of checklist is to ensure that all operational and Health & Safety arrangements are in place to allow the event to run efficiently and safely.
Requests for accommodation which are not directly linked to teaching or research activities, e.g. social gatherings or leisure meetings, will be classed as events.
By introducing this process, the Directorate of Estates is confident that efficiency, safety and the overall experience for organisers of events and out of hours activities will be improved.

Booking of Building Foyers
To formalise the use of building foyers, from 1 September 2010 foyer areas in the buildings listed below will require all users to contact the Central Timetabling Unit (CTU) to confirm the availability of the foyer. CTU will then send the requestor a link to the on-line checklist for completion.
This process is being introduced to ensure that safe access and egress can be maintained during events.

- University Place (1st Floor Foyer)
