Changes to the usage of video portal videos on external websites

Information for colleagues who embed videos from the Video Portal on non-University websites

What is happening?

IT Services need to make a change to the way that videos on the video portal (video.manchester.ac.uk) are embedded on external websites.

Once the change has been made, any videos on the video portal which are not set as public (that is, those where the visibility is set to “private” or “course/organisation”) will only be viewable on a University website where IT login is required, such as Blackboard, or directly on the video portal itself.

If your videos are embedded on a third-party website or publicly accessible University of Manchester website they must be published with the visibility set to “Public”.

Third party websites include (but are not limited to) services such as Articulate Rise and Storyline, Softchalk, Nearpod, H5P and more.

When will it happen?

The change is proposed to take place in 2024, from the start of Semester 2.

What do colleagues need to do?

All content owners must ensure that any required changes have been made before the work takes place, otherwise the videos may stop working.

As this will affect externally hosted websites, there is no way for IT Services to find out which videos are affected.

Please review any videos that you may have hosted on third party sites – and if the content is appropriate, ensure that their visibility is set to 'public'. The public visibility can be set on upload or changed using the “Manage” sub-tab of the My Video page. Help and guidance can be found at the My Podcasts staff FAQs page.

We are aware that there are many reasons for colleagues to embed a video in a third-party site with content that is restricted or sensitive. If you have done this and do not feel you can change to 'public' or host the video within a manchester.ac.uk website, we need to capture this as an exception for investigation otherwise your content may no longer be accessible.
