Update your ethnicity, emergency contact, next of kin and death in service recipient
Colleagues are encouraged to visit MyView, our self-service portal, to review and update their existing personal information to ensure these are up to date, and to ensure they are accurate ahead of our annual Higher Education Statistics Agency (HESA) return.
Submitting your HESA details and checking your personal information such as your address, emergency contact and bank details are up to date means that we have an accurate representation of our employee’s details.
In particular, please review the following information:
- Ethnicity - HESA have changed the criteria for Ethnicity. This only affects those staff previously recorded as “White” as there are now five different criteria for this ethnicity. As a temporary default, all staff previously recorded as “White” will now be recorded as “White – English/Scottish/Welsh/Nth Irish”. We appreciate that this may not be correct for you. If this is the case, please log into your “MyView” and complete the “My Equality Details” section.
- Emergency Contact - this relates to the first person we should contact on your behalf, or who is most likely to be able to assist us with any matter. This person would only be contacted in an emergency, and through appropriate channels.
- Next of Kin - this is the person (people) who are your closest living relative (s), for example, while your emergency contact may be your partner, your next of kin may be a parent that does not live with you. Your Next of Kin does not need to be related to you by blood, and may be a friend, and would be the University's contact. Your Next of Kin will not automatically receive your Death in Service benefit.
- Death in Service recipient - the University provides a very generous benefit to support loved one's in making arrangements in the event of an employee's death during their employment. The contact noted here would be the person to whom the University makes the Death in Service payment to help mitigate the costs, for instance in arranging a funeral. This does not need to be your Next of Kin, and payment would only be made to the person noted herein in representation of your wishes.
Please note: The contacts noted on this page are not your Pension Beneficiaries, which you are required to note separately with the Pension Scheme.
What do I need to do to check my HESA details?
All colleagues, both Academic and Professional Services’ members of staff, need to log into MyView, and under “My details” you can complete your relevant HESA form under the heading “My HESA details”.
There are five forms to choose from and details about the type of staff that should complete each form are shown below:
Form 1 - Teaching, and Teaching and Research (Non-Clinical);
Form 2 - Research, including Experimental Officers (Non-Clinical);
Form 3 - Teaching, and Teaching and Research (Clinical);
Form 4 - Research (Clinical);
Form 5 - All other employees.
We are requesting that forms are completed by Friday, 15 September.
Why is this important?
The University has a statutory requirement to report data to the HESA. HESA curates one of the world’s leading HE data sources and provides an open source of HE information.
The HESA details collected via MyView forms your HESA Staff Record, which in turn forms part of the HESA Staff Return (records are anonymised before being included in the return).
We submit our HESA return annually and it is important to demonstrate our contribution within the HE Sector, as HESA collect, assure, analyse, and disseminate data and information on all aspects of UK higher education.

We will remind you on a regular basis to review your information within MyView to ensure we always have an accurate record of your details.
