Get ready for improvements to Jobtrain, our online recruitment system

Further enhancements to Jobtrain will be live from August

In March we told you about a series of improvements which will be delivered this year to the systems we use for recruitment and sickness absence. From early August, further enhancements to our recruitment system, Jobtrain, will be live.

In November, the approvals process for vacancies was transferred over to Jobtrain. For the first time, this has enabled colleagues to track the approvals process for their vacancies.

This next phase for the adoption of Jobtrain is:

  • Simplified application form templates
  • Managing candidate selection and the interview process 
  • Improved offer and appointment process.

These improvements are already live for a group of early adopters across the University, with full implementation for the rest of our University happening in early August 2023.

In addition to the new functionality, we are also taking the opportunity to make some improvements to the Job approval form to support our Finance and Post Management teams. This involves the creation of new fields to capture additional levels of the People and Organisational Development hierarchy.

What do you need to do now?

You can find support and training materials on StaffNet, including training guides and short videos. These are split into the key stages of the recruitment journey. We strongly recommend you use these when you’re ready to start recruiting or will be recruiting when the new features go live.

  • For frequent recruiters or those who will be actively recruiting in the next five weeks, you should attend an online show and tell demo.

In these sessions we’ll demonstrate how to:  

  • Use the new candidate management statuses and what they mean.  
  • Use the two new flexible interview arrangement options.   
  • Process an offer using the NEW online starter form.  
  • Process a named candidate into a non-advertised vacancy.   
  • Work with recruitment agencies through Jobtrain. 

We’re hosting multiple sessions throughout the week, so you’ve got the flexibility to sign up to a session that suits your diary.   

Not expecting to be actively recruiting until after August? 

If you’re not currently recruiting, or not expecting to soon, you don’t need to take any action now. Please be aware that, when you are ready to recruit, there are new ways of working when using Jobtrain, and plenty of online support to help you through the process.
