Programme withdrawal or suspension
The temporary suspension, or permanent withdrawal of a programme requires approval on behalf of the School and Faculty Quality, Standards, Design and Enhancement Committee (QSDE). A modified withdrawal and suspension template should be completed and submitted for approval. Please contact your Faculty Teaching and Learning Officer (EDPPP) as soon as it is identified that a programme suspension or withdrawal may be requested who will provide guidance on the deadlines for approval.
The modified withdrawal and suspension template should outline the rationale for the programme closure, and email confirmation of the advice sought and provided by the University’s Directorate for Legal Affairs should be provided as part of the supporting documentation.
Schools should consider the Student Protection Plan - Policy on Refunds and Compensation when considering a programme withdrawal or suspension.
Where a programme is being withdrawn, the plans to ensure current students can complete their studies, including any students who have already had an approved interruption to their studies, should be outlined on the modified withdrawal and suspension template.
In the case of a programme suspension the School should outline the provisional plans for the programme following the end of the suspension period. The School should carefully consider the timelines, particularly any marketing and recruitment cycles, for any future intakes if the programme is intended to be resumed in the future. Note that the resumption of a previously suspended programme will require approval by the School and Faculty QSDE through the submission of a programme amendment and accompanying documentation before it can begin re-advertising.
Transfer of programme ownership
Transfer of ownership of a programme between Schools does not require formal approval by the Faculty unless the aims and learning outcomes are to change. However, your Faculty Teaching and Learning Officer (EDPPP) should be notified of any such changes, so that colleagues across the University can also be informed. The School TLSE Co-ordinator (Data Quality and Student Records) will be responsible for updating the academic program / plan ownership in Campus Solutions.
