Inviting a visitor (physical or remote access) for less than 7 days

For remote access you must know the physical location of the visitor and their home institution. 

Whose home institution is not based in China, India, Iran, North Korea, Pakistan, Russia or Syria

No further checks on their home institutions are necessary, but please be aware of the following:

For physical visitors:

  • If you plan to share controlled goods or technology (information, research data, or knowledge) with them, you must inform them that if they wish to take this information out of the UK, it is their responsibility to apply for an export licence, in advance of their visit.
  • If you plan to continue to share controlled items (via email, video conferences and telephone calls) with them once the visitors return to their home institution, it is your responsibility to apply for an export licence by filling in and submitting an Export Controls Compliance request (online form) with the Regulatory Compliance Team. Do not share any controlled items until a licence is in place. 

For remote visitors:

  • If you plan to share “controlled” technology ((information, research data, or knowledge), it is your responsibility to apply for an export licence by filling in and submitting an Export Controls Compliance request (online form) with the Regulatory Compliance Team. Do not share any controlled technology until a licence is in place.

Follow the People & OD procedure inviting staff visitors to the University or to grant them remote access; or follow the PGR or Recruitment & Admissions procedure for inviting a (PG/UG) student visitors to the University or to grant them remote access.

Whose home institution is based in China, India, Iran, North Korea, Pakistan, Russia or Syria

  • Fill in and submit an Export Controls Compliance request (online form) with the Regulatory Compliance Team.
  • Do not invite the visitor or start the remote access process until you’ve received export control clearance. 
  • This export clearance is needed whether or not you plan to share controlled technology or goods.
  • Once export clearance is obtained, follow the People & OD procedure for inviting staff visitors to the University or to grant them remote access; or follow the PGR or Recruitment & Admissions procedure for inviting (PG/UG) student visitors to the University or to grant them remote access.
